Customer step-by-step manual — Pactora

Choose a task, follow the steps, then open its tool. Keep the transaction reference for follow-up.

You can read, copy and print this guide without signing in. Account tools require signing in and remain subject to your permissions.

1 Start here: find the right workspace

  1. Sign in and open your dashboard. It shows your name, Pactora user code and business; use your code when identifying parties for a contract invitation.
  2. Contract completion handles invitations, consent, signatures and certificates. My orders and invoices handles plans/payments. My opportunities and posts manages your publications.
  3. Use notifications to open transactions needing action. Do not create another request for the same transaction when one already exists.
  4. This manual has a dashboard card and a My account menu link. Search by task or use the contents list.
  5. Copy an individual chapter or the whole manual, print it, or choose Save as PDF in the print dialog. Full copy and printing include every chapter in the displayed language.

Available tools depend on your plan, permissions and transaction status. These instructions do not change published terms or policies.

2 Prepare your profile, business details and account security

  1. Open Profile & settings and review your name, business, activity, location, logo and required contact fields.
  2. Complete business registration or unified-number fields where provided, especially before contracting. Saving details does not automatically verify the business identity.
  3. Check the professional email used for verification and ensure you can access it before signing.
  4. If identity changes require review, use the dedicated request and await its result; do not create duplicate accounts to bypass review.
  5. Manage your password through account settings and sign out on shared devices. Never send your password or signing OTP to anyone, including support.

Check the request status or contact administration if your details remain under review.

3 Find opportunities and save favorites

  1. Open the public marketplace and use available search, categories and filters for the relevant activity or city.
  2. Read the opportunity details, requirements, deadline and status before offering. Do not rely only on the card title.
  3. Save suitable opportunities as favorites where available and check recommended opportunities from your dashboard.
  4. When returning to a saved opportunity, verify that it remains open and within deadline. Favoriting does not reserve it.
  5. Use general search for content you can access; some records and attachments require authorization.

The platform displays opportunities; it does not guarantee offer acceptance or another party’s performance.

4 Publish, edit or cancel an opportunity or service

  1. Choose Publish an opportunity or service from your dashboard and select the appropriate available type.
  2. Choose the primary text language and enter title, description and requirements. Add the other language when desired or required and review the meaning before publishing.
  3. Enter activity, execution city and estimated value where needed, and set the submission deadline using the time shown in the form.
  4. Review the fields, publish, and open the details to verify text and status. Keep the opportunity reference.
  5. To edit, open your opportunities/posts or the original record and use its available edit action. Award/execution stages can restrict editing.
  6. If cancellation/withdrawal is available, provide a clear reason and review the confirmation; bidders may see the reason and receive a notification. Cancellation leaves a record.

Follow the form’s content rules; do not bypass contact-detail or attachment restrictions.

5 Submit offers, negotiate and follow awards

  1. Open the opportunity, read requirements and deadline, and use Submit offer if available to your account.
  2. Enter price, description and any requested details/documents. Check amount and currency before submitting.
  3. Follow My offers & negotiations and notifications for status or completion requests; reply through the same transaction.
  4. As publisher, review incoming offers and their details before taking a permitted decision for the current stage.
  5. After an award, follow the displayed instructions into contracting. Offer acceptance/award does not mean the contract is signed or platform fees are paid.
  6. If the deadline closes or the publisher cancels, read the status and reason. A submitted offer is not acceptance.

Agree on scope and obligations and review the final document before signing.

6 Contract leader: create a case and invite the counterparty

  1. Complete your business profile and open Contract completion. Read and accept the workflow guide before creating a case that requires it.
  2. Enter contract/deal name, value and counterparty deadline. Select a related listing if applicable and a discount code if available.
  3. Review and create the contract-completion card. Keep its reference; contract value differs from the platform fee shown in the later claim.
  4. Inside the case, enter the counterparty’s Pactora user code and verify the intended person/business before sending the invitation.
  5. Track invitation status through the case and notifications. Use reminders within the displayed limit; email sending is not invitation acceptance.
  6. Complete your acknowledgements and upload the final PDF at the permitted stage, then ask the other party to open that case from their account.

Pactora records the workflow; the contract and performance obligations remain between the parties.

7 I received a contract invitation: what next?

  1. Open the notification or Contract completion from your account and select the case matching the invitation reference.
  2. Check the deal, inviting party, deadline and your business details. Complete required professional identity fields if the workflow blocks progress.
  3. Read the invitation and accept or reject according to your decision. Acceptance starts the process; it does not replace reviewing and signing the contract.
  4. Complete required acknowledgements about negotiation, platform service, confidentiality and authority. Do not confirm an inaccurate declaration.
  5. Wait for the final document if needed, read it fully and record the available viewed/reviewed action.
  6. Complete required qualification or meeting steps where applicable, then proceed to signing. The counterparty signs before the contract leader.

If the invitation is not intended for you or its details are wrong, resolve that before consenting or signing.

8 Sign with email verification and review the final version

  1. Open the case and confirm acknowledgements and review of the current document. Complete required qualification or meeting prerequisites first.
  2. The counterparty signs first, followed by the leader. If you are the leader and the action is unavailable, check the other signature.
  3. At the signing-code step, enter your account password in the designated form and request a code to your professional email.
  4. Read your email, enter the correct code within the displayed validity, explicitly consent to signing and submit.
  5. Request a new code through the available flow when expired. If incorrect attempts trigger a lock, wait until the shown time; do not keep guessing.
  6. Verify that your signature was recorded. Once both parties sign, platform fees become the next step where due. Final documents/certificate await confirmed payment or the applicable fee workflow.

Never share the signing code. Your signature concerns the reviewed version; refresh and follow the workflow if the status or version changes.

9 Choose a plan, upgrade, sponsor or advertise

  1. Open plans and benefits from your dashboard and compare the currently displayed benefits, duration and price.
  2. Choose a plan/term and enter a promo code if available before confirming. Review the resulting total and currency.
  3. Open that same order in My orders and invoices to pay and track status. Creating an order does not start a paid plan.
  4. After payment approval, verify active status, start/end dates and available account benefits.
  5. For sponsorship/advertising, complete company name, logo, description and required text, plus the advertisement link where offered. Saving content submits it for review, not guaranteed immediate visibility.
  6. Near expiry, review notifications and available order/renewal options. Selecting a monthly term alone does not establish automatic recurring debits.

The order defines its fees and benefits; this manual does not establish a permanent price or discount.

10 Pay by IBAN and submit the transfer reference

  1. Open the plan order or contract-fee page, then bank transfer/payment follow-up; alternatively choose the transaction in Platform service payments.
  2. Check the reference, claim amount, currency, beneficiary and published IBAN. If transfer details are absent, contact administration before paying.
  3. Transfer through your bank to the displayed business account and keep the reference and receipt. You are paying the stated platform service fee, not the contract amount owed to the other party.
  4. Return to the same transaction, enter the reference, optionally attach a PDF or PNG/JPEG within the shown size limit, then submit for review.
  5. Follow review status and notifications. A receipt upload does not immediately unlock service; administration matches receipt of money and approves linked activation.
  6. If returned for review, read the reason and correct the same transaction. Do not pay again merely because activation is delayed.
  7. After approval, refresh, verify the active plan or completed contract and open the linked invoice.

A payment-return link or uploaded receipt is not final payment approval.

11 Find your invoice, contract and certificate

  1. For a plan, open My orders and invoices, select the order, then view/print its invoice if issued.
  2. For a contract, open the case in Contract completion. Once completed, your permitted outputs include the contract, completion certificate and event history.
  3. The completion-fee invoice belongs to the leader responsible for payment; the counterparty’s available outputs can differ.
  4. Open the correct document and verify the reference, business, amount or status before printing. Use print or Save as PDF in the browser where available.
  5. If the certificate is locked, review both signatures, fees and case status, then contact administration with its reference rather than creating a new case.

The completion certificate concerns the recorded workflow; it does not guarantee performance or certify every business detail outside that workflow.

12 Cancel an order or request and track a refund

  1. Open Platform service payments and select the original transaction. Read the published payment/refund policy first.
  2. For an unpaid plan order without a submitted transfer, use the available unpaid-order cancellation with a reason.
  3. If you have transferred money or submitted its reference and it is under review, contact administration with the order reference before cancellation. Do not create a replacement to bypass the transfer record.
  4. For a paid service, submit a platform-fee refund request with a clear reason. Submission neither immediately cancels the plan nor guarantees approval.
  5. Track status, decision reason and approved amount. Policy and delivered service determine rejection or partial/full approval.
  6. Approval precedes actual return; a linked refund document appears when the return is recorded. Contact support by reference if money has not arrived, considering the actual return method.
  7. Contract cancellation has a separate action in the case; refunding platform fees does not erase your signed agreement with the other party.

Avoid duplicate requests for the same issue; follow the existing request.

13 After contracting: tasks, renewals and feedback

  1. Open My contracts & tasks or Post-contract tasks and select the linked record. Check assignee, due date and status before updating.
  2. Submit the permitted update/attachment and verify the new state. A task update does not automatically amend the contract text.
  3. For renewal/extension, open the additional-office tool, select the contract and enter the proposal/reason as requested, then follow approvals.
  4. Renewal requires its workflow decisions; submission is not the other party’s consent or an approved extension.
  5. Feedback is available to parties of a completed contract through an eligible case. Give truthful experience-based feedback and review profile achievements/certificates according to their prerequisites.

Feedback and certificates require a specific case; start from the contract rather than a bare link without its reference.

14 Messages, support, privacy and policies

  1. Review messages and notifications from your dashboard. Follow the notification link to the correct transaction.
  2. For support, provide the order/case reference, blocked step and time. Never send passwords, verification codes or payment-card details.
  3. Read terms, privacy and the payment policy when published. Use available page tools to copy or print the displayed text.
  4. Use My data and consents and Policy acknowledgements in additional office tools to review available data/consent actions.
  5. Use complaints or administration messages as appropriate and keep any tracking reference. Do not publish private contract files in public comments to obtain help.

Reading this guide does not change consent or submit requests for you; use each action’s dedicated page.

15 Quick checks before requesting help

  1. Cannot continue contracting: complete business details, accept the invitation/acknowledgements, review the current document, and check prerequisites and the other signature.
  2. Signing code missing: check the professional email and spam folder; use permitted resend or wait for the displayed lock. Do not share a code that arrives later.
  3. Paid but not activated: open the same transaction and confirm submission/reference/review status. Contact support by reference; do not transfer again without checking.
  4. IBAN missing: bank details may not be published. Contact administration within the platform before payment.
  5. Invoice/certificate unavailable: check your role, case status, signatures and fee approval; invoices can be restricted to the paying party.
  6. Post/ad not visible: review status, term, content approval and display settings. Saving is not necessarily publishing or approval.
  7. Form expired: sign in again if needed, open and refresh the original request, and check its state before repeating financial actions.
  8. Still unresolved: send administration the reference, screen, time and error while excluding sensitive information.

Some functions depend on administration settings or external services; repeated payment or another account cannot fix them.
